# Welcome to Windsor

Let's create an awesome, personalized experience for your customers.

### What does Windsor do?

Windsor creates personalized videos that you can use in email campaigns and automations, SMS campaigns, and LinkedIn messages. We do this through AI technology, where we replace part of a video you've recorded with the recipient's name.

### How does Windsor do it?

First, we'll work with you to create what we call, an AI model, where we record a video session with you, so we can train our AI to look and sound exactly like you.&#x20;

When connecting Windsor to your marketing app, Windsor will download your customer list from your marketing app and create videos that replace a placeholder word in the video with the recipient's name. If Windsor doesn't currently integrate with your Marketing app, there's even a way to use it using [CSVs](/windsor-dashboard/using-windsor-manually-via-csv-files) or via [Zapier](broken://pages/ibmtmbl1pBytkBw9mLPv), which in turn supports over 5,000 integrations.

Once the videos are created, your marketing app can use a link that matches the video with the recipient, who will receive your video with their name in the greeting.

The aim with these docs is to give you access to all the information you and your team needs to properly integrate Windsor into your marketing apps and workflows, and troubleshoot any issues you run into along the way

## Setting up your personalized videos

Using Windsor consists of 3 really simple steps:

#### Step 1 - *(optional)* **Create your AI actor model**&#x20;

To properly generate videos where it looks and sounds like you're speaking to your customers, you'll first need to create an AI model. You can do this by logging into your Windsor account, navigating to the Actors; page and hitting 'Create'\

The pages that follow will guide you through scheduling a short recording session where a member of our team will record some footage and guide you through creating your AI model. Your AI model will be used when personalizing the templates you record next

#### Step 2 - (optional) Record some template videos

You can skip this step and use one of our pre-recorded templates from our professional actors. Login to your windsor account and see the templates available in our Video Library

Templates are videos that contain variables to be personalized. In the template video, you'll use the phrase 'Watermelon' as a placeholder/variable. For example, you might say something like 'Happy Birthday **Watermelon.** Hope you have a wonderful day' at the start of your template video. Once uploaded to Windsor, the word 'Watermelon' can be replaced with anyone's name using AI.

When creating your AI model in step 1, most customers typically also record some initial templates with our team. These will be made available on your account along with the AI model when processed.

However, you may also always record new templates whenever you'd like. Just navigate to the 'Video Library' or 'Templates' section of the dashboard, and hit 'Create' to get started. The following steps will show you how to record and upload your new videos.\

#### Step 3 - Start a campaign

The next page will walk you through creating your campaign on Windsor. This is where you can setup your custom video viewer page, load some recipients, integrate with your other services, and track all your analytics.

# Creating a campaign

Creating a campaign is how you start to use videos you've recorded (or those recorded by our actors) to create personalized videos at scale for your recipients. Each campaignThese campaigns can be abandoned cart recovery videos, customer win-back videos, welcome videos, and more.\
\
Here's how we set up a campaign.

1: In the [Windsor Dashboard](https://app.windsor.io/campaigns), navigate to "**Campaigns**" and click the "**Create campaign**" button.

2: Now, to set up your campaign, **give the campaign a name**, one that's easy to identify in your marketing tools. Then **select the video template** and "**Next Step**".

In some marketing tools (like [Klaviyo](/integrations/klaviyo)), only the first few characters of your Windsor campaign name show, so we recommend using unique campaign names that don't repeat the beginning.\
\
Examples of **good** campaign names:\
\- Winback\
\- Abandoned cart\
\- Welcome video

**Not-so-great** campaign names:\
\- Company-name video 1 - Welcome\
\- Company-name video 2 - Winback

3: When people receive their personalized email, they'll be able to click a link to watch their video. The video will be played on your own customized Windsor video page.\
Fill out the necessary fields and you'll see the updates in the preview box on the right.

The "Short Message" is the message that will show under the video. Make it short and sweet. We want the focus on the video.\
In the Call to Action section, the Button Text is the text that will show on the button.\
The Button Link is where people will be directed once they click the button.\
The Contact email is what will be used when someone writes a message on this page. This has to be a valid email address.

Click "**Create Campaign**" and you're ready to add your automation.


# Find your custom property

To grab your Windsor custom property for your email campaign. You go to the Windsor dashboard and under campaigns, you select the campaign you want to send.

In the top, right, you'll click the three dots, manage automations.

Click copy behind the property name and then paste that into your email campaigns.

# Using Windsor manually via CSV files

If Windsor does not support your app through one of our various integrations, this guide will show you how you can still use Windsor by importing and exporting CSVs

In this document, we'll walk you through the steps to import your contacts and export the generated video links.

### Import your contacts into Windsor

1: We'll start by exporting your contact list from your CRM/contact list/address book. You can also create one manually.\
You'll want to create a plain text CSV file containing *at least* a **First Name**, and either an **Email&#x20;*****or*****&#x20;a LinkedIn URL** column. The first row should be a header row.

For example:

If your CSV contains more than these 2 columns, don't worry about stripping it down. You can assign columns after it's uploaded.

2: Log in to your [Windsor portal](https://app.windsor.io) and select the campaign you want to upload your contacts to.

3: Select the **3 dots** in the top-right and select "**Add Recipients**".

4: On this screen, you can select to either enter recipients manually, one-by-one or upload a CSV File. **Select the CSV option**.

5: Click "**Upload CSV**" and select the CSV file with your recipients.

6: Drag your file into the box or click the **+** to locate your file.\
Then, confirm the file is imported properly. It should look something like this:

Click "**Next**".

7: Map the columns to their respective template columns and click "**Next**".

8: Review the CSV and click "**Import**".

9: Done! Your recipient list has been imported and you can click "**Finish**".

This is the part where we need to be patient. Windsor will create videos based on the names in the CSV file. We'll put the videos through a quality control process to make sure the videos look as natural as possible. This process should be finished within 24 hours.

### Export your video-url list

When you come back to your campaigns the next day, you'll notice the number under "total videos created" is updated. You can now download the CSV file with the URL to the created videos.

1: In the campaign, click on "**Recipient Activity**" to see an overview of the processed videos.

You can use this CSV however you see fit. You can import it into a CRM that Windsor doesn't support or you can grab the URLs and send them to your recipients manually.

# Generate personal thumbnails

Make your emails, text messages, and LinkedIn messages standout with a personalized thumbnail. Windsor generates beautiful thumbnails that improve click rates and conversions.

Follow the steps below to your thumbnail -&#x20;

## Picking a Space

Things to consider when picking a space and optimizing that space for recording:

1. Size
   * 6 ft or 1.8 meters of distance from your camera to work with.
2. Lighting
   * Well-lit and even across your face. If you have a window to one side, causing half of your face to be shadowy, you may need to change the orientation of your setup so that the camera is in front of you, or you may need to order a ring light or two to even it out.
3. Noise
   * As noise-free environment as possible. We want to capture clean audio only - free from outside sources, such as your A/C unit, construction outside, a loud refrigerator, etc.

## Equipment Recommendations

### Microphones

1. We require clear, high-quality audio to build your AI model.&#x20;
2. The mic must be at a consistent distance from your mouth, regardless of your distance from the camera.&#x20;

We recommended a few microphones in the video. Here are links to the latest ones recommended:

Each of these includes a built-in mic and can clip onto your shirt, but they're more distracting to viewers than Lavalier mics due to their size. However, you can connect a different Lavalier mic to the Transmitter and use that as the mic instead (this technically means your setup would be *mostly* wireless, but is still more discreet overall and is likely to give you higher-quality audio than the built-in mic).

We require a 10 to 15-minute audio/video recording to create the AI model.

3. Disable any software compressors, equalizers, noise suppression, etc. We perform our own sound processing after recording - any additional processing can cause issues.

  * The takes should be roughly 4ft (1.2m, 5ft (1.5m), and 6ft (1.8m) away from the camera. We'll ultimately process the take that works best with the model.
  * Your mic must remain at a consistent distance from your mouth, regardless of your distance from the camera.
  * You can push the camera back or keep it at a fixed position and step back as you record each distance. Do whichever is easiest for your setup.

Since you may have a setup that's hard to replicate **perfectly** again, We'd recommend recording videos for all the campaigns you'd like to send for the next 6 - 8 weeks while you have a good recording setup.

1. Record your videos as if you were recording them for a single person but in place of a name you say “Watermelon” (Like 'Hi Watermelon' or 'How's it going Watermelon', etc.)

2. Don't move your head too much when saying sentences that include a replacement, or during the sentences before and after
3. Make sure your face is clearly visible. Don't block your mouth/chin with the mic or with your hand if you're waving at the beginning of your video
4. "Controlled Excitement" - don't be overly expressive when saying the AI key phrase, "Hey Watermelon."
5. Leave short, natural pauses after "Watermelon" and after the first sentence after the greeting. These pauses should be very short (\~0.25 seconds).
6. Avoid speaking too fast around the AI key phrase "Watermelon"
7. Don't cut the video too close to the start - leave about 2 seconds of silence with a neutral, closed mouth before beginning each take. We'll cut the start of each take ourselves once we've received the footage to make sure it looks natural.&#x20;
   * If your video has more than one replacement in it, don't worry about pausing like this before saying "Watermelon" later in the video. This point only pertains to the replacement at the start of the video.&#x20;

With the Windsor Zapier integration, you can perform the following actions:

1. Request a new personalized video from Windsor.io using any Zapier trigger.
2. Send the generated video URL from Windsor.io to any other service that integrates with Zapier.

### Step 2: Connect Windsor with your Zapier account

To connect Windsor with your Zapier account, go to the [My Apps](https://zapier.com/app/connections?search=windsor) tab in Zapier's sidebar and search for "Windsor". Click on "Connect", and then paste the API key you copied in [Step 1](#step-1-copy-the-windsor-api-key). Once the connection is established successfully, the [Zapier integration page](https://app.windsor.io/integrations/zapier) on Windsor will show "Connected".

### Step 3: Enable Zapier as a Source Integration for your Campaign

For every campaign that will use Zapier, Follow the steps below in the GIF to enable the Zapier as a source integration. This will allow you to select that campaign in Zapier when using the Windsor "Generate New Video" action in a Zap.

Your Windsor campaign must be LIVE before you can set up the Zap. Start your Windsor campaign by clicking the "Start Campaign" button from the campaign detail page on the Windsor dashboard.

### Step 4: Setup the Zap&#x20;

To set up the Zap, create a new Zap and choose any trigger you prefer. For the purpose of this example, we will use the "New Contact Added to List" trigger in ActiveCampaign.&#x20;

Once you have selected your trigger, choose "Windsor" as the action and select the "Generate New Video" event. Next, select the appropriate campaign from the campaign dropdown menu. Fill in the required values using the values provided by the trigger. Test the Zap, and once it passes, publish it.

Going forward, every time the Zap is triggered, Windsor will create a video for every unique email.

While testing, you may need to run the "Generate New Video" action multiple times for the same email. However, Windsor.io will only create one video per email to prevent overcharging your account.

To work around this, you can append a unique value to your email address by using the "+" symbol. For example, "<johndoe@gmail.com>" can become "[johndoe+test1@gmail.com](mailto:johndoe+1@gmail.com)", while changing "test1" to something else on each test.

&#x20;This will allow Windsor.io to recognize the email as a unique value each time, thereby allowing you to generate multiple videos during testing. The emails will still be routed to the correct email address as expected.

Make sure to remove this after the testing is done.

# Set up Zapier as a destination

Follow the steps below to send Windsor Videos to any Zapier supported integration

### Step 1:  Copy the Windsor API Key

### Step 2: Connect Windsor with your Zapier account

### Step 3: Enable Zapier as a destination Integration on your Campaign

For each Windsor campaign that will be used in your Zapier Zaps, Follow the steps below in the GIF to enable Zapier as a destination integration. This will allow you to select that campaign in Zapier when using the Windsor "New Personalized Video" trigger in a Zap.

### Step 4: Set up the Zap

To set up the Zap, start by creating a new Zap and selecting the "New Personalized Video" event from the Windsor app. Next, choose the appropriate campaign from the campaign dropdown menu. Here, you can also specify the status of the video that will trigger the Zap. In most cases, you will want this to be "Approved".

Once you've set up the trigger, choose any other app as your action. For this example, we will use the "Create or Update Contact" event in ActiveCampaign. The trigger provides contact properties such as "email" and "Video URL" that can be used in the following action.&#x20;

In this example, we are updating the ActiveCampaign contact's custom property with the Video URL provided by Windsor.

# Klaviyo

### Overview

Windsor has a two-way integration with Klaviyo. This means that, Windsor can both

1. Create new videos automatically from Lists or Segments on Klaviyo, and
2. Send emails and SMS messages with embedded videos via Klaviyo

### Connecting Klaviyo With Windsor

To make the connection, we need the API keys from your Klaviyo account. Please follow these steps to find your APIs Key. (or [click here](https://www.klaviyo.com/account#api-keys-tab) and skip directly to step 3)

### Setting up the Klaviyo automation

1: Navigate to your campaigns and select the campaign you'd like to automate.

2: On a new campaign, you'll automatically be sent to the "**Add Recipients**" tab. Here, you click on "**Setup an integration**".

3: We're now setting up the part where Windsor pulls customer names from Klaviyo to create videos. Click the "**Select**" button behind Klaviyo.

4: Now we're going to select the specific list in Klaviyo we want to create videos for. For example, in this case, we're creating a welcome video, so the list in Klaviyo would be a list of first-time buyers/subscribers.

Select your list and click "**Confirm**".

5: Now we're going to set up the part where Windsor will push the created videos bac to Klaviyo for use in your flows.\
In the delivery method, we **select** Klaviyo again.

6: Next is the custom property. This is the tag that'll be used in your email template as a placeholder for the video URL when it's sent to the customer. We suggest making this a unique and easy-to-recognize name, for example, "Welcome video" (you'll notice that spaces will automatically be replaced by underscores " **\_** "  )

Click "**Confirm**" after naming the property.

7: The automation is now set up on Windsor's side. We'll now move to the Klaviyo flows. Click "**Done**".

### Setting up the flow in Klaviyo

This is the flow we're going to create. In the image below, you'll see the following:

1. The flow triggers when someone enters the list (segment) "First-time buyers". This list contains customers with exactly 1 purchase.
2. The "Wait 1 day" step is a delay so Windsor has time to create the video for this particular customer.
3. Then, the conditional split is to ensure *everybody* receives an email. Our tech is good, but in some cases, for example, with hard-to-pronounce names, videos don't make it through our quality control process. In this step, we make sure that Klaviyo sends an email with a video when a video passes inspection and in the case of a rejected video, the customer still gets an email but with a standard text, without a video.
4. This is the email template with the produced Windsor video.
5. This is the email template without a video.

1: Let's set up the email template (step 4 in the above image).

Click the email box and select "**Edit**".

We need to get a little creative here because Klaviyo doesn't show the personalization icon outside the text editor. For example, if you want to create a link from existing text or you want to make an image clickable (both of which we're going to do), you'll have to enter a URL/link.

3: Edit or create a text area and at the bottom of the area, on a new line, click the "**Add personalization**" icon and select the welcome video property we created in step 6 above.

**Copy this string**. We'll need it in the next few steps.

4: Select the text you'd like to link to the video and click the "**link**" icon and paste the property we just copied.

5: Now, we're going to insert an animated thumbnail of the video to invite people to click. For this, we need to briefly hop back into the Windsor dashboard to get the thumbnail.

5a: Switch to the Windsor dashboard. In your campaign, next to the "Start Campaign" button, click "**View Template**". Then, click "**Copy Link**" behind "Template GIF".

5b: Now, we can go back to Klaviyo and add an image box to the template. Click "**Browse Image Library**".

5c: Select the "**Import URL**" option, paste the URL to the template GIF we just copied and click "**Import**".

5d: Under "**Link address**", we'll have to paste the personalization string again, as we did in step 3.

6: You can also add a button in the same way as we did with the text link and image link.

Once you're done setting up the email templates for both "with video" and "without video" emails, you can set the flow status to "Live".

7: Now, for the last step, we move back to the Windsor dashboard and click the "**Start Campaign**" button and videos will start processing and flowing through Windsor and Klaviyo!

#### Post Purchase (a.k.a Thank You Video)

A [very common](https://www.marshallhaas.com/post/how-i-sent-over-10-000-personal-thank-you-videos-to-my-customers-in-2-months) use case for Windsor Videos

1. Setup a segment for ‘Recent Customers’ with a definition like this\

#### Abandoned Cart

That’s a lot of money that’s just one button away from payment. Recouping these carts with Windsor is really easy!

First, setup a segment for ‘Abandoned Carts’ with a definition like this\

To break this ☝️ down, we’re grabbing every new contact that started a checkout over 2 hours ago and has not yet placed an order. i.e. an “Abandoned Cart”.

The reason we need a Segment like this is that Windsor can only automatically create videos from a Klaviyo Segment/List. Videos can’t be automatically created when a recipient enters a flow.

The segment described above will capture any cart that hasn’t been closed within 2 hours of starting a checkout. You can then use the Windsor Video properties for anyone in the segment, in any campaign or flow you want to send out later.

Finally, create a regular [Abandoned Cart flow](https://help.klaviyo.com/hc/en-us/articles/115002779411-Guide-to-Creating-an-Abandoned-Cart-Flow) on Klaviyo and follow the steps from above to embed Windsor videos into the Abandoned Cart emails

# Checking your links

If you want to make sure your links are working in your email flow, you can take these steps to verify.

1: In your Klaviyo dashboard, navigate to "**Flows**" and the campaign you want to check up on.

2: Select the email that's sending the videos and click "**View All Analytics**".

4: Click "**Recipients**" and hover over one of your recipients to make the "**Preview**" button appear.

When you click the preview button, you'll view the email as if you're the recipient, so the email layout and links are exactly as your recipient received it. Now, you can click one of the links and verify that the video is showing properly.


# Prevent duplicate emails

To prevent sending duplicate video emails to the same person, you can use Klaviyo's built-in "Flow filters". We highly recommend using these in your flows.\
You can set them up like this:

1: Select the flow you'd like to edit.

4: Select "**Has not been in this flow**" from the first dropdown and leave the "at any time" box as-is.\
Click "**Save**" after that.

That's it! These steps will prevent people from being added to this flow a second time.


# HubSpot

### Step 1: Connect your HubSpot account with Windsor <a href="#step-1" id="step-1"></a>

Connect your HubSpot account with Windsor by going to the "Integrations" tab in the Windsor sidebar.

### Step 2: Enable HubSpot destination integration to create custom contact property

Follow the steps below in the GIF to enable the HubSpot destination integration and create a custom contact property for each contact. This HubSpot property will contain the personalized Windsor video URL after the videos are generated. By default, the property name looks like `<campaign_name>_video_url` but you can customize it before clicking "Save & Enable".

### Step 3: Export your contact list in HubSpot in CSV format

[Export your desired HubSpot contact list as a CSV.](https://knowledge.hubspot.com/lists/export-your-lists) Windsor only needs the Name and Email contact properties to create videos; exporting other properties is optional.

### Step 4: Import the CSV to Windsor

Upload the downloaded CSV from HubSpot to Windsor by going to the "Recipients" tab and clicking on "Add Recipients" from the campaign detail page.

### Step 5: Wait till the videos are ready

You will receive an email when all the videos are ready. At this point, all the contacts in HubSpot already have the videos added to their custom property. (You may ignore the email attachment you received).

To use the video URLs in your marketing emails or sales sequences, simply insert the custom contact property as a personalization tag. The property will show up in the editor just like any other personalization tag.

Sometimes the generated video for a contact may not meet our quality standards. In this case, the video gets skipped, and the custom contact property is not updated for that contact. You can use HubSpot filter on the custom contact property to ignore such contacts, as shown in the GIF below.

# Generating videos automatically using HubSpot workflows

### Step 2: Enable HubSpot source integration

Follow the steps below in the GIF to enable the HubSpot source integration. This will allow you to select that campaign in HubSpot when using the Windsor "Create Video" action in a workflow.

### Step 3: Create a HubSpot workflow

Create a HubSpot workflow and follow the GIF below to setup Windsor "Create Video" action to automatically create videos for each contact enrolled in that workflow.

Sometimes the generated video for a contact may not meet our quality standards. The "If video was skipped" value can be used to filter out such contacts in the workflow as shown in the GIF above. These contacts can be ignored or handled in a backup sequence. The choice is yours.

### Step 4: Enable HubSpot destination integration to create custom contact property

Follow the steps below in the GIF to enable the HubSpot destination integration and create a custom contact property for each contact. This property will contain the personalized Windsor video URL after the videos are generated. By default, the property name looks like `<campaign_name>_video_url` but you can customize it before clicking "Save & Enable".

### Step 5: Use the personalized video URL custom contact property

Once the "Create Video" Action in [Step 3](#step-3-create-a-hubspot-workflow) is completed, the custom contact property created in [Step 4](#step-4-enable-hubspot-destination-integration-to-create-custom-contact-property) will be populated by the personalized video URL. To use the video URLs in your marketing emails or sales sequences, simply insert the custom contact property as a personalization tag. The property will show up in the editor just like any other personalization tag.

Following screenshot shows an example of usage HubSpot [workflows](https://knowledge.hubspot.com/workflows/create-workflows) and [sequence](https://knowledge.hubspot.com/sequences/create-and-edit-sequences) to send outreach emails. You can also use the video URL in other places throughout HubSpot.

# La Growth Machine

You need access to the "Custom Workflows" feature on LaGrowthMachine to use the Windsor integration. This is only available on the ***Business*** plan on LaGrowthMachine.

### Create a campaign in Windsor

First things first. We need to create a campaign in the Windsor portal before connecting La Growth Machine (LGM in the rest of this document). During this process, we'll also connect LGM to Windsor.

1: Click the "Create Campaign" button in your Windsor dashboard.

We recommend filling at least 3 of the fields "**Short message**", "**Button Text**", "**Button Link**" and "**Contact Email**" before clicking "**Create Campaign**".

### Setting up LGM as a source for Windsor

1: Click the "**Connect**" button next to LGM.

2: You'll need to enter your LGM **API key** on this next screen. You can find your API key in your LGM account under "[**Settings > Integrations and API**](https://app.lagrowthmachine.com/settings/api)". Click the "**Copy**" button to copy the API key. and paste it into Windsor.

3: Click "**Confirm**".

4: The next step is to create a webhook in LGM. You'll need to "**copy**" the Webhook URL here.

5: Then, in LGM, you can create a new webhook under "[**Settings > Webhooks**](https://app.lagrowthmachine.com/settings/webhooks)". Click "**Create a webhook**".

6: Fill in the details in the form. Important: You'll need to create a new webhook for every campaign you create in Windsor, so it's best to keep the name and description something that you can easily associate with your campaign.\
**Paste** the webhook URL into the "URL to notify" box.

When you click "Test webhook", LGM will tell you the webhook test has failed. This is a bug on LGM's side. Rest assured, the webhook *will* work as intended.

7: Click "**Create Webhook**".

8: Switch back to the Windsor portal tab and click "**Confirm**" after setting up the webhook.

### Setting up LGM as the delivery method.

1:Now that LGM is set up as a source to pull user data into Windsor, we need to let LGM know we've created videos.\
We do this under "destination" and select LGM as the delivery method.

5: Add the "**Wait**" action and set it for 1 day. This is because Windsor can take up to 24 hours to create and quality-check a video. Click "**Save**".

6: Add the "**Has Attribute?**" condition. This will check if the custom attribute has been assigned to a video. Our quality control team will check all videos that are created and if a video isn't up to our standards, it will be marked as rejected and this attribute/custom property will not be assigned to a video. Based on this, you can create a yes/no path, where you'll send a video if the video is present or a text-only message if the video was rejected.\
Select the attribute/custom property we're using for this campaign.

7: Now it's time to add your messaging to the yes/no paths. In this example, we're going to add LinkedIn messages.\
Add the "**Send message** (LinkedIn)" action to both the yes and no paths.

8: For the "No" path, you'll write a standard message without a video. This is the message that will be sent to contacts that don't have an accepted video. One of the possibilites is that this person has a hard-to-pronounce name and the video didn't make it through our quality control process.

9: For the "Yes" path, you can write a message to your contact and append the custom attribute we assigned to this campaign.

1. Write your message
2. Click "**Variables**"
3. Select your custom attribute
4. Click "**Save**"

We advise placing the custom attribute at the bottom of your message. LinkedIn will automatically unfold the link and create a preview for it.

10: Name your campaign.

11: You can go live immediately, but if you'd like to test the flow before sending messages to "real people", you can go to "**Content**" and create a test audience that holds only a handful of email addresses/contacts that you have access to. In this example, we've created a test audience with some of our staff email addresses.&#x20;

If you're happy with the results, because LGM doesn't allow you to edit your audience on a flow once it's live, you'll have to duplicate the campaign and change the audience to your "real people" in the new campaign.

When you click back to the "Activity" tab, you'll notice numbers under each of the steps. These show how many people have passed through this step. Once numbers show up under the webhook block, you will also see recipient activity in the Windsor dashboard, so it's normal to see an empty Windsor dashboard until LGM pushes the contacts through your funnel.

## Setting Up a Windsor campaign with Reply and Zapier

### Step 1: Create a custom contact field in Reply <a href="#step-1" id="step-1"></a>

Windsor works with Reply by populating a custom field for each contact with a unique Video ID. This ID will be used in your email to show the correct video personalized for that contact.\
\
[Create a new custom contact field on Reply](https://support.reply.io/en/articles/1133836-how-to-create-and-edit-custom-contact-fields).  Name the property something useful for the campaign you're setting up, like "**Windsor Outreach Video ID**".

### Step 2: Set up your Reply sequence

Sequences using Windsor always start with a [Zapier Step](https://support.reply.io/en/articles/4476325-zapier-step-in-a-sequence).

In the Zapier step, Choose "**Wait for Action from Zapier to move to the next step".**  This lets Zapier move contacts to the next step when the video is ready in [Step 4](#step-4-setup-zapier). \

#### Setup your video email

Just like `{{FirstName}},` a video email will include a personalized Windsor link. This link is the magic that makes Windsor work. To make sure the link is unique to each contact, we will use the custom field created in [Step 1](#step-1). Here is what the link looks like

### FAQ / Troubleshooting

<summary>My contacts are getting marked as missing data even if the custom contact field is set.</summary>

This happens if the contact moved from the Zapier step to an email step prematurely (i.e. before the Windsor video was created for them). This could happen for a number of reasons - maybe your Zap step isn't set to "wait for action", or you might have a different Zap on Zapier that's pushing these contacts through even before the Windsor video is ready.\
\
First, set up a smart filter like this so you can identify all the contacts that should not have missing data.

8: Now, we need to create a customer segment in Omnisend. We will tag customers in Omnisend with the tag you see in the "Generated Tag Name" box in Windsor. Copy that tag name.

You've now successfully integrated Windsor with Omnisend.

### Creating an automation

Now that Windsor and Omnisend are connected, we can create an automation that sends emails with Windsor videos.

1: Create a workflow. You can either select an existing one that we'll modify or start from scratch. Whatever you're comfortable with.\
The first thing we need to do is add a tag to a customer. You create this step after the trigger.\
The tag we're adding should match the campaign we're sending in Windsor (see step 8 above).

2: Add a delay for 24 hours. Windsor can take up to 24 hours to create a video and put it through our quality control.

3: Now we're going to create a conditional split where we check if a video was successfully created. It's possible some names get rejected by our quality control. We still want those people to receive an email, but these will not have a video.\
We do this by checking if a tag is added to the customer. This tag should match the campaign we created above.

4: Under the "Yes" branch, you can create your email and add the personalization.

5: We recommend adding a GIF thumbnail of the campaign video. In [this document](/windsor-dashboard/generate-personal-thumbnails), we explain how to grab the thumbnail.\
Add the image block and upload the GIF.

With the personalize icon, you can link to your Windsor video of select the campaign. This should end with "video\_url". For example "windsor\_campaign-nam&#x65;**\_video\_url**".

You can apply the same method to a button or any link in the email.

5: Set up the rest of your workflow and click "Finish editing".

6: Now, for the final step: We need to *remove* the tag from the customer to avoid flooding Omnisend with tags.\
We do this by creating a new, empty workflow and create a trigger with the following configuration.

# ActiveCampaign

### Step 1: Connect your ActiveCampaign account with Windsor

To connect your ActiveCampaign account with Windsor, first grab an API key. You can do this by going to your ActiveCampaign account, and navigating to the "Settings > Developer" section. (See the GIF Below).

Then, go to the [ActiveCampaign integration page](https://app.windsor.io/integrations/activecampaign) on Windsor, paste the API URL and API Key, and save to establish the connection.

### Step 2: Create a list/segment on ActiveCampaign

To start creating videos, you'll need a new list on ActiveCampaign. Windsor will monitor that list and automatically generate videos for all current and future members of that list. When creating the list, feel free to use any URL you want for the "List URL" field - it won't affect the integration.

### Step 3: Set up ActiveCampaign as a source integration

Go to the Windsor Campaign you want to use with ActiveCampaign (or [create a new campaign](/windsor-dashboard/creating-a-campaign) if needed) and set up ActiveCampaign as a source integration by selecting the created list/segment from Step 2 and clicking 'Save'.

### Step 4: Set up ActiveCampaign as a destination integration

Windsor integrates with ActiveCampaign by assigning a custom field to each contact, which holds the unique Windsor Video URL generated for that contact. This custom field can be used in your ActiveCampaign emails. By default, the field name follows the format `<CAMPAIGN_NAME>_VIDEO_URL`, but you can customize it before clicking "Save & Enable." Check out the following GIF to see how to configure this setup.

### Step 5: Create an automation on ActiveCampaign

Windsor will generate videos for the contacts in your chosen list/segment and populate the custom contact field with the personalized video URL. To automatically send personalized video emails to your contacts, you can [configure an automation](https://help.activecampaign.com/hc/en-us/articles/218788687-Create-a-marketing-automation-from-scratch-in-ActiveCampaign#add-the-send-an-email-action-to-your-automation-0-5) on ActiveCampaign.&#x20;

Here is an example screenshot of an automation on ActiveCampaign. Note that including a "Wait for 1 day" step is crucial, as Windsor may take up to 24 hours to create the video.

Sometimes the generated video for a contact may not meet our quality standards. The "If \<video\_url> not blank" condition can be used to filter out such contacts in the automation as shown in the screenshot above. These contacts can be ignored or handled in a backup sequence. The choice is yours.

#### Using the Personalized Video URL in the Email

To use the video URLs in your emails, insert the custom contact field you created in Step 4 by selecting it from the "Personalization Tags" dropdown, as shown in the GIF below.&#x20;

# Email Sequences

&#x20;🧠 In a “regular” email sequence, the goal of every touchpoint is to book a meeting. That’s a huge ask for someone who doesn’t know you and knows that they may need to part with 💸 at the end of the call.

In a Windsor email sequence, the goal of every touchpoint is to get someone to open and watch the video. That’s a much easier ask. Lean into it and let the video do the talking (no pun intended).

### Subject Lines

* For a good A/B test, we typically recommend using your best existing subject line. If you’ve already mastered the art of getting recipients to open your emails with relevant subject lines, then don’t let videos change that.
* If you’re starting from scratch or are unhappy with your own subject lines, then here are some tips you can try:
  * Use the word “Video” in your subject line. [Numerous articles](https://themanifest.com/email-marketing/blog/video-for-email-marketing) have [shown improvements](https://www.switchvideo.com/2014/05/27/emails-video-higher-open-rate/) in open rates and clickthrough rates when done right.
  * Examples:
    * “ACME + [Windsor.io](http://Windsor.io) | Video for you”
    * “Video about ACME, response rates, and 2022”
    * “Rebecca, seeing is believing - made this video for you”
    * “You have (1) new video from Pranay at [Windsor.io](http://Windsor.io)”

Insert a good animated thumbnail form your video here. Windsor can generate a good GIF for you.

However, some software won't allow you to use custom properties as the link in a GIF (HubSpot is a good example). Even if it does, sometimes these images can affect your email deliverability..

In these cases, skip out on the GIF and do this:

#### First Touch

If you’re using Windsor in your first touchpoint, here are our recommendations:

Remember that in a Windsor sequence, you have a much simpler ask. Your email asks them to watch the video, and the video asks them to book a meeting. Lean into it and make the task at hand as simple as possible

Try to address common concerns ahead of time

* I don’t want to open a link from a stranger. Who are you?
* Is this safe to click?
* How much time will this take?
* Did they really take the time to make this video for me?

Let’s look at some examples.

#### Follow Up

A typical Windsor sequence has 2 follow-ups related to the video, which we’ll cover below. After the first 3 touch points, we still recommend having another 2-3 touch points (5 - 6 touch points in total), although you should choose what’s best for your own industry and strategy.

Regarding timing and cadence, you can follow a standard email cadence. Best practices with days of the week, and times of day, still apply. Videos don’t change that. Here’s a [good blog from Hubspot](https://blog.hubspot.com/sales/the-ultimate-guide-to-prospecting-how-many-touchpoints-when-and-what-type) on this topic

Your first follow-up can be a really simple one. Really. Simple. A simple text reminder.

1. Hey, did you have any thoughts on that video I recorded for you? It’s only 30 seconds if you haven’t watched it yet
2. Just wondering if you had a chance to watch the video. I’d love your thoughts.
3. I thought a short personal video might be easier than a long email, but let me know if you’d like a tl;dr instead

Your second follow-up is where you’d use the follow-up video if you recorded one. If you haven’t (we recommend you do), you can also reuse the first video, or skip this step entirely and move back to a text-based sequence.

If you have a video, here are some good templates that still follow the recommendations above.

# Recording Your Own Avatar

This doc will walk you through the footage you need to record to create your custom avatar. Follow along and record just 10-15 minutes of footage so Windsor can generate your avatar.

## Must-reads before we get started:&#x20;

### ⚠️ Microphone choice

All the footage (i.e. the model creation, consent, templates, etc.), needs to be recorded using the same microphone. **The microphone cannot be a laptop mic or AirPods.** A good external mic is best and they come as cheap as $50. ### Custom Model Creation

To create your custom AI avatar, you will need to record about 10 to 15 minutes of audio and video footage.

First, you **will need to record** a short consent script on video (at the bottom of this page). This gives us permission to create your AI model.&#x20;

Next, simply record yourself speaking into a camera for about 10-15 minutes.&#x20;

* This is a great time to record a couple of template videos you can use once your avatar is ready (more on these videos below).&#x20;
* Since that won't cover all of the time, you can choose to read your favorite book, [here’s a good script](https://short-stories.co/stories/other-dangers-6ElnLy4xnMv), or you can pick anything else from [this website](https://short-stories.co/stories/time/15).

You may record videos with your phone or your laptop. Please record at 720p or 1080p.

If recording on a Mac, the built-in Photo Booth app works great. On Windows, the Camera app lets you record video. A fully featured option is [OBS](https://obsproject.com/) - we love it and use it every day - but [may require a little setup](https://www.youtube.com/watch?v=Muk9LfEWHeU).

### Template Videos

You may record up to 3 videos that you would like to send to recipients. Each video will be recorded as if it were to a specific individual, but in place of a name you say “Watermelon.”

e.g. (”Hey Watermelon, Thank you so much for your purchase”)

> For each video recorded this way, we ask for 3 takes: Close, Medium, and Far which should be around 5, 6, and 7 feet away from the camera respectively. This will help you get the best quality.

### What happens after I record?

We’ll use the footage to create a model for you and we’ll prepare the template videos you recorded using that model. Once we’re finished, we’ll let you know and you’ll be ready to go!

If you’re collecting names and emails on your site, delight them with a personal video. Welcome them to your brand and let them know what they can expect by being a subscriber. You can also use this opportunity to have them book a call with your team - it’s the best place to do it

#### Sales / Prospecting / Cold Emails

We typically don’t recommend using Windsor in your first email within a cold-email sequence. These emails tend to have very low engagement rates. Instead, use Windsor in follow-up emails, meeting reminders, auto-responding to lead intake forms, and so on.

If you will be sending videos via LinkedIn, they do work really well in the first post-connection message to a customer. This is because LinkedIn automatically renders a nice thumbnail when you share a link (as long as you only share the Windsor link your message).

Beyond these, it’s really up to you. Get creative with how you want to use it. If you can bring something on camera - like a sample of your (physical) product, a pet, etc. - do it 🙂

# Frequently Asked Questions

<summary>Why are my videos failing to send?</summary>

1: Windsor needs up to 24 hours to create a video for each new name that enters your list. \
In most cases if a video fails to send, the video isn't ready at the time your marketing automation is sending the video. Please make sure your automation is set up to wait at least 24 hours between the time a contact enters your list and sending the video.

2: It's also possible that the occasional video doesn't pass our quality checks. This is why we recommend adding a text-based alternative email in your automations to make sure the message is still being sent to your customer, albeit without the video.

It's wise to add a flow filter in your email marketing app to prevent people from entering the flow more than once and sending multiple videos to the same people.
